Conducting Proficiency and Thesis Defense Exams and Thesis Monitoring Committee meetings

In order to determine the thesis defense exam date, the advisor/student will scan the student's thesis with turnitin and send the signed turnitin report, the student's publication documents and the thesis in PDF format to the institute's e-mail address. After the decision of the Board of Directors is taken, the thesis and turnitin report together with the relevant decision will be sent to the relevant faculty members by the Graduate School.

The proposal regarding the date of the thesis monitoring committee meeting must be sent to the head of the department through the advisor, and the head of the department must send it to the Graduate School via EBYS.

Exams and meetings will be held via video conference system. For this purpose, a program provided by the Department of Information Technologies will be used. The use of the program and the meeting will be carried out under the control of our Institute and after the meeting is started, the advisor faculty member will be appointed as a moderator by our Institute and the meeting will be completed under the moderation of the advisor faculty member and the meeting will be recorded. The records made after the exam will be submitted to our Institute in digital environment.

On the day of the exam, the advisor, student and jury members who are not prevented from attending the exam/meeting come together in a room/room where social distance can be maintained, such as a seminar hall, classroom or faculty member's room determined by the relevant faculty/department. In the virtual classroom created by the Graduate School, the advisor, as a moderator, connects the jury members participating remotely to the meeting as users. Before the exam/meeting, the advisor will be informed separately about the use of the program.

The student participating in the defense exam makes a presentation in a way that all jury members can see. Answers the questions of the jury members. The student is taken out of the hall and the opinion of each jury member is taken as &ldquo student successful&rdquo/&ldquo student unsuccessful&rdquo. The exam result form is sent to the advisor in digital form by signing separate forms by the jury members who participate remotely. The members who physically attend the meeting also sign a separate form and the advisor submits it to the head of the department by adding the wet signed and digitally sent forms. Meeting/exam documents and minutes are sent to the Graduate School by the head of the department. The exam held in the virtual classroom is recorded by the Institute exam coordinator and transferred to CD/DVD.

If the Institute Board of Directors approves, students from outside Konya can also participate in the defense virtually. In this case, it must be ensured that the student has both written and oral exam records during the exam and that the entire environment is in the form of audio and video recordings.
